Regarding vs2's query about Digital Signatures for Form-16
by on Feb 01, 2008 04:41 PM

Form-16 can be digitally signed and stored electronically, eliminating need for printed copies (which have to be physically signed by a an authorized finance officer of the company). Form-16s can be a huge operational cost and headache for large companies who have to take printouts, sign them and distribute them. Imagine companies with 1000s of employees doing this. Problem is compounded by multi-location companies, employees moving around and employees who leave. Form-16A (for vendor TDS)are probably more of a headache just because of the number of certificates to be printed, signed and distributed. Also unlike Form-16, they have to issued all year round.

Insider information has it that some companies are coming out with software products / services which will: i) generate Form-16s; ii) digitally sign them; iii) email them to employees; iv) be available to the company for companies records. While some traditional payroll companies are providing such basic functionality, there the forms have to be digitally signed one file at a time -- which is still a big pain. Look out for real experts in digital signatures making an announcement soon for enterprise class automated solutions for the same.
